Search, Sort and View Files

Who can use this feature?

Files are where most of the design and collaboration process takes place in Figma. Learn more about Files and File structure in our What are Files article.

I want to:

Search for Files

You can look for Files using the  Search bar in the File Browser.

This global search allows you to find and view Files you have access to.

In a Starter, Student or Professional Team you can search for Files across:

  • Your own Drafts
  • Your Recents
  • Teams and Projects of which you are a Member
  • Any Shared Projects or Files outside of Teams

In an Organization, you can search for Files across:

  • Your own Drafts
  • Your Recents
  • Teams and Projects of which you are a member (Including Closed and Secret Teams)
  • Any Open Teams in the Organization
  • Files shared across the Organization
  • Any Shared Projects or Files outside of Teams

To search for a File:

  1. Click in the Search field at the top of the File Browser.
  2. Start typing the File name. As you type, we will show the Search results in the File Browser.
  3. We sort any results by Relevance. You can choose to sort Files by date (see below)

Sort Files

You can choose how to order Files in the File Browser. This applies to Files in your Drafts, Recents and Projects.

You can sort by:

  • Alphabetical
  • Date Created
  • Last Modified
  • Last Viewed (Recents only)
  • Date Deleted (Deleted Files only)
  • Search Relevance (Search only)

Note: If you are in List view, you only have the option to sort by Last Modified.

  1. Open your Drafts, Recents, or a Project Page in the File Browser.
  2. Click the arrow next to the current sort:
  3. Select the desired sort order from the options. Choose from:
    • File Name
    • Date Created
    • Last Modified
    • Last Viewed (Recent Files only)
    • Date Deleted (Deleted Files)
    • Search Relevance (when Searching for Files)
  4. We will then sort your Files in the order you selected.

View and Interact with Files

You can choose to view Files in List or Grid view. We use Grid view by default.

Click on the File to open it in the Editor.

List

In List view, you can view the following for each File:

  • Thumbnail
  • File Name
  • Project
  • Date Last Modified
  • Date Created

Grid

In Grid view, you can view the following for each File:

  1. See the File Thumbnail: Set a Custom Thumbnail
  2. View the File Name
  3. View the Date and Time you last viewed or edited the File.
  4. If you're viewing a File in the Recents File Space, you can see which Project the File is in.
  5. If anyone is currently viewing the File, you will see their Profile Picture there.
  6. Right-click on the File to view the File Menu

Make Changes to Files via the File Menu

If you right-click on a File, you can perform some actions:

  1. Open (in the current tab)
  2. Open in New Tab
  3. Pin to Project (Teams only)
  4. Share the File
  5. Duplicate the File
  6. Rename the File
  7. Delete the File

Tip! If you are viewing a File in the Recent folder, you will have two extra options:

  • Show in Project to open the File in the current folder
  • Remove from Recent
