This article gives you an overview of everything you need to know to get started as a member of an organization. Learn how to access teams, files, and shared resources in Figma.
Perfect for folks who’ve recently upgraded to an organization plan, or are new to Figma.
Join organization
There are a few ways to join an organization:
- Accept an invitation to a file, project, or team in the organization
- Open a link that an existing member has shared
- An organization admin adds you (via an identity provider or domain capture)
You’ll need a Figma account to access organization files and start contributing. If you already have a Figma account, you can join using that account. If you don’t have an account, you can create one as part of the joining process.
Figma uses email domain to determine who can join an organization. If you have a work email—an address that matches an organization domain—you'll join as a member.
If you don't have a company email, you'll join the organization as a guest. Guests have limited access, and can only access resources they are invited to.

If you already had an account with teams and drafts, your existing files are safe! You can access drafts, teams and projects from the organization or in your external teams.
Log in to organization
Organization admins choose how members can log into the organization. There are three methods available.

Click Continue with Google to log in using Google Single Sign On (SSO)
If your organization uses Google Workspace, you can log in to Figma using your Google account.

Enter your Email address and a unique password

Click Login with SAML SSO to authenticate using a third-party provider
SAML SSO allows members to log in to Figma using their company email address. You’ll log in using your company’s identity provider. For example: Okta, OneLogin, or Azure Active Directory. Guide to SAML SSO →
Note: SAML SSO doesn’t apply to guests. Guests can’t log in using SAML SSO, as they don't have company emails. Instead, guests can log in using an email address and password.
The file browser is what we call the parts of Figma outside of the Editor. The file browser enables you to explore your workspace and navigate between accounts.
Navigation bar
The file browser is what we call the parts of your Figma account outside design or FigJam files. This allows you to access drafts, teams, and resources in the organization.

Note: If you're using the Figma desktop app, you can navigate between your account and any open files. Click to view your account in Figma. When you're viewing the Community, you can navigate back and forward using the arrow keys.

Account switcher
View the organization name and icon in the navigation bar. Click to switch between accounts, organizations, or the Community. Switch between accounts →
If you’re part of an organization, you’ll have at least three options in the switcher:

Organizations: Organizations have a dedicated name and icon, usually a company logo. Access organization teams, members, and resources—like private plugins, libraries, and shared fonts.
If you're a guest of any organization, you'll see a badge next to that organization. Guests can only access teams, files, or projects the organization they're explicitly invited to.

External teams: Find any teams you're a member of which aren’t included in the organization. You can't access organization resources—like private plugins, fonts or libraries—in your external teams.

Community is where you can explore files and plugins created by other members of the Figma community. Learn more about the Figma Community →
Caution: It's not possible to move files organizations and external teams, so make sure you're in the right space when you create or open files.

Search
Use the search field to find teams, projects, and files in the organization.
Figma groups results by resource type, click to view results for each type of resource. In an organization you can search for:
- Files: find files in your drafts, shared projects, and any teams.
- Projects: find shared projects you have access to or team projects.
- People: find collaborators and view their contributions to your teams.
- Teams: find open and closed teams in your organization.
- Plugins: find and install plugins that are private to the organization.

Notifications
Click the notifications bell to view and manage any notifications relating to the organization.

Account menu
View and manage account-level settings from the account menu:
- Community: View and update your Community profile
- Internal profile: View your internal profile
- Plugins: View and manage your installed plugins
- Settings: View and update your account settings
- Switch account: Switch between accounts and organizations
- Add accounts: Log in to your Figma account
- Log out: Select an email address to log out of a specific account, or Log out of all accounts.
Sidebar
Recent files
Select Recent in the left sidebar to view and access files and prototypes you've recently viewed or edited from this account.
This includes files and prototypes from your drafts, team files, and any other shared files you've opened. It's not possible to view recent files across multiple Figma accounts.
Figma lists files and prototypes separately, you can use the tile icon to identify files from prototypes:
- Design files
- FigJam files
- Prototype
There are extra file actions → available from recents. Right-click on the file to view the file actions.
- Show in project: open the project page where the file is located. Figma will open that project page in the file browser.
- Remove from recent: remove the file or prototype from your recents. This won't delete the file, you can still access the file from the team/project where it's located.
Drafts
Access both your drafts and any deleted files from Drafts. Use the tabs at the top of the page to switch between them.
Drafts
Every Figma account comes with its own drafts. You can think of your drafts like a sketchbook or notebook, a place where you can jot down your ideas and experiment with different concepts.
Drafts are a separate space from the organization's teams and projects. Other members of your organization can't see what's in your drafts, unless you invite them to your files.
When you leave an organization, the organization keeps any drafts you created in the organization.
Deleted
The Deleted files folder is an archive of any files you have access to that have been deleted. This includes files that you deleted yourself and files others deleted.
When you delete a file, Figma will remove the file for all collaborators. You can access deleted files from the workspace under Drafts > Deleted. Use the Created by to filter your results. Choose to view files created by: Anyone, You, or Others.
Figma will keep files in the deleted files folder indefinitely. It's not possible to open a deleted file, but depending on your access to the original file, there are some actions you can take.
Teams, projects, and files
If you moved to an organization from an existing team, your drafts, files and projects may have moved.
You can access any migrated teams from the organization. If any teams weren’t included in the migration, you’ll find them in your external teams ↑. This includes any other teams linked to your work account.
Shared projects
Select Shared files or Shared projects in the sidebar to view files or projects outside of dedicated teams. This includes:
- Files from another members drafts, which you have a role on.
- Files from teams you're not a member of, which you have a role on.
- External projects that you have a role on.
Tip! Organization admins can find and manage the drafts of any deleted organization members in Shared projects.
Teams
You can have as many teams in an organization as you need. To browse organization teams, click All teams or All workspaces in the file browser.
- View the team name, icon, and description, as well as any members in that team. Click the Join or Request to join button to join a team.
- Click New team at the top of the page to create a new team in the organization.
- Find out which members are organization admins under the Admins heading.
A team's access in the organization controls how members can access each team. Guests must be invited to any type of team, regardless of the team's organization access.

A person's role determines whether they can edit any files in that team. Everyone in an organization has both a Figma design and FigJam role. People can have different roles on each product. Roles in Figma →
Note: You must invite guests to teams, regardless of the team's organization access. When you invite a guest to the team, they can access all files and projects in that team. Members versus guests →
