Manage members and guests in an organization
Before you start
Who can use this feature
Supported on Figma Organization plan.
Only Organization Admins can manage members and guests in an organization.
Everyone in an organization has both an account type and a role. These control:
- What people can access in the organization.
- If they can view or edit resources in the organization.
- If Figma includes them in the organization's billing.
You can have any combination of account type and role in an organization. Learn more about roles and account types →
Account type
- Members are people in the organization with an email address that matches any of the organization's domain(s). Members can access other resources in the organization.
- Organization admins are members with extra administrative rights, they can manage and control extra settings within the organization.
- Guests are members with an email address that doesn't match any registered domains. Guests can only access resources you invite them to.
Role
There are three roles in an organization: viewer, viewer - restricted, and editor.
- Viewer is a provisional role within the organization. Viewers can upgrade themselves to editors through specific actions.
- Viewer -restricted roles can perform limited actions within an organization.
- Editors can edit resources they have access to, and are included in the organization's billing. Learn more about managing new editors in your billing →

If you view the recent activity for a guest of the organization, you can switch to the Guest access tab to see what resources they have access to.
- View a list of the teams, projects, and files they can access in the organization.
- See their current permissions across every resource.
- Update their access or remove them from the organization.
Invite members
There are a few ways to add members and guests to your organization.
Note: Anyone with an external email address will be a guest, there is no way to make someone with an external email address a member. This includes external contractors or people using their personal email address.
Learn more about roles and account types in an organization →
Invite them to a resource
Any member or guest can invite someone to a resource. People can only invite others with permissions at or below their own permission level: viewers can invite other viewers; editors can invite viewers or editors.
Tip! If domain capture is off, you can invite users who already have Figma accounts. They can use the switcher to move between teams inside and outside the Organization.
Add them to the organization
You can only add members to the organization itself, if domain capture is off. If domain capture is off, organization admins can add members directly to the organization.
Note: Figma will give everyone you invite via this process a provisional viewer role. You can update their access to viewer restricted or editor once Figma shows them in the Members tab.
- Click on the Admin settings option beneath the organization nam in the sidebar.
- Select the Members tab and click the Invite member button in the top-right corner.
- Enter the member's company email address and click Send Invite.
- Figma will send an email to the member's email address. They can follow the link in the email to join the organization.
Note: You won't see the option to invite a member in your Admin settings if domain capture is on. You will need to invite the member to a resource in the organization, like a team or file.
If your organization uses SAML SSO, you can also add them to your identity provider to add them to your Figma Organization.
Add them via SAML SOO
If you have configured SAML SSO in your organization, you can add members to your organization via your identity provider.
Follow the links to third-party documentation below for detailed instructions on how to add members to your identity provider:
Downgrade members
If you do not want someone to be included in your organization's billing you can downgrade their role to Viewer - restricted.
This will restrict their access and actions within the organization. This includes any files, projects, or libraries in the organization. Learn more about what viewer restricted can and can't do →
- Use the search field to find the member or guest.
- In the Role column, click the next to editor and select Viewer - restricted.
- Next time the member tries to share or edit a file, they will see an "Access Restricted" message.
Note: Restricted member can request an upgrade to Editor again. This will send a request to every Admin in the Organization, who can approve or reject the request.
Upgrade member roles
Upgrade a member to an editor to allow them to edit resources in the organization. Figma will include them as an editor seat in your next billing true-up.
Upgrading a member's role to editor won't affect their permissions on any files, projects, or teams. You can still control a member's access to each team individually.
- Use the search field to find the member or guest.
- Click the next to Viewer and select Editor.
Note: If a member upgrades after you have finalized your current true-up, Figma will include them in your next true-up. Learn more about billing in an Organization →
Grant members admin access
Grant a member admin access to upgrade them to an organization admin.
- Click the next to the member.
- Select Grant Admin Access from the options
Learn more about what admins can and can't do →
Remove members
Remove members to immediately revoke their access from the organization. This prevents them from accessing any teams, files, projects, or libraries in the organization.
There are a few steps to take when removing a member or guest from an organization.
Transfer teams, files and projects
We recommend you transfer ownership of a member's teams, files and projects, before you remove them. This allows you to select the new owner of those resources.
If you don't, Figma will transfer ownership to a team Admin or an Editor on a file or project.
Note: If there are no other admins or editors on those teams, files, or projects, those resources won't have an owner. Organization admins can claim ownership of a team, once they have ownership of the team they can claim and manage any projects.
Remove members from Figma
Remove the member from the Members tab in the Admin settings.
- Use the search field to find the member or guest.
- Click and select Remove.
- Check the box next to I understand that this action isn't reversible and click Remove member.
Remove members via SAML SSO or Google SSO
If your organization members are configured via SAML SSO, you will also need to remove the user from your identity provider.
This isn't something that we can help you with directly, but we've rounded up some documentation from supported providers below.
- Add or Delete Users in Azure Active Directory
- Suspending or Deleting Users in OneLogin
- Activate and Deactivate Users in Okta
To remove someone from your GSuite organization, check out Google's Delete a user from your organization article .
View and manage shared projects
Anything within the organization space is the organization's intellectual property, this includes member drafts.
When you remove a member from an organization, Figma moves any files from the member's drafts to the Shared Projects folder.
This locks files and projects for any collaborators with access to them. Admins will need to assign new owners to those resources before collaborators can continue to edit them.
- Open Figma in the file browser and select Shared projects in the sidebar.
- Find the member's drafts you want to manage. It will look something like
Name's (email@address.com) Deleted Drafts
- You'll need to move the folder to a team before you can access the files within it. Click on the folder name and select Add to favorites from the options.
- Figma will add the project to the sidebar. Click and hold on the folder in the file browser and drag it to a new team.
