  Who can use this feature

  Supported on the Enterprise plan.

  Only organization admins can manage an Organization's billing, members, and true-ups.

  Workspace admins can manage true-ups for members of workspaces they manage by reviewing, managing roles, and confirming extra editor seats the workspace needs.

  Enterprise plans are designed for companies sharing resources across multiple teams and workspaces. Enterprise plans are billed as a whole, instead of on a team-by-team basis. This makes sure members working across multiple teams and workspaces are only accounted for once in the organization's billing.

  Subscription lifecycle

  There are two parts to an Enterprise plan subscription lifecycle: the annual subscription and quarterly true-ups.

  Annual subscription

  The Enterprise plan is an annual subscription.

  At the time of purchase, organization admins define how many Figma and FigJam editor seats they want to buy. Upgrade to Enterprise plan→

  Organization admins will receive reminders 14 days and 5 days before the annual subscription is due to renew. This gives organization admins time to adjust the number of editors they want to include in their annual subscription.

  Quarterly true-up

  To account for any new or upgraded editors, Figma performs a true-up every three months in addition to the annual subscription.

  • Four weeks before the true-up, email reminders will be sent to the organization's billing contacts. This shows the number of editor roles added since the last billing date. Further reminders will be sent at 2 weeks, then 3 days before the true-up is due.
  • Organization admins can manage new editors and decide if they need an editor role. If not, they can downgrade them to a viewer-restricted role to remove them from the organization's billing. Organization admins can review and confirm to lock the upcoming invoice.
  • During a true-up, workspace admins can review and manage the roles of any workspaces members. They can then confirm any extra editor seats their workspaces need. Manage true-ups with workspaces →
  • If the organization has more seats than the previous billing date, Figma will charge them for any extra editor seats. This is a prorated amount, which covers that seat for the rest of the billing period.
  • If you pay for your organization via invoice, you'll have 30 days to pay the invoice.

  Payment methods

  When you upgrade to an Enterprise subscription, you can choose to pay through manual payment or set up automatic payments. 

  Manual payment (via credit card or ACH)

  When your annual subscription or true-up is due, Figma sends an invoice to the organization’s billing contacts.

  Organization admins have 30 days to pay the invoice by credit card or direct payment (ACH). It's only possible to make one payment per invoice, so the invoice needs to be paid in full.

  Automatic payment (via credit card)

  Figma stores the organization's credit card and charges the total due for an annual subscription or true-up on the due date.

  If your organization has more than 10 paid editor seats, you are eligible to switch to manual payment via invoice.

  To update the credit card on file, or discuss manual payment, contact your Account Manager or the Admin Support team.

  Manage billing

  Only organization admins can view and manage the organization's subscription and invoices. They can access these in the Billing tab of the organization's admin settings.

  1. Open Figma in the file browser.
  2. Select Admin Settings in the sidebar.
  3. Select Billing at the top of the page.

  From here they can view details of the annual subscription, view and export previous invoices, and see the expected balance of any upcoming true-ups.

  

  • A

    Current billing period

    • Next invoice issue date: the date when your next quarterly true-up will be created.
    • Projected total: the expected total of your next invoice based on the combined number of Design editor seats and FigJam editor seats.
    • Click See cost breakdown to view the breakdown between Figma design and FigJam
    • New design editor seats: the total number of members and guests in the organization that can gain edit access to Figma design files.
    • New FigJam editor seats: the total number of members and guests in the organization that can gain edit access to FigJam files.

    Annual subscription

    • Organization plan annual renewal: the date your annual subscription is set to renew. Figma will send reminders at 14 days and 5 days before the annual subscription is due to renew.
    • Total editor seats today: the combined number of editors seats included in your subscription with individual totals for Design and FigJam seats.
    • Billing contacts: a list of the email addresses that Figma will send billing notifications and reminders to. Click Change contacts to add or update billing contacts.

    Invoices

    View a list of invoices relating to the organization's annual subscription, as well as any quarterly true-ups.

    • Date: the date the invoice was created, which is also the date the billing period started.
    • Description: where the invoice is a Quarterly true-up or an Annual renewal.
    • Design editor seats: Total Figma design editor seats included in the invoice.
    • FigJam editor seats: Total FigJam editor seats included in the invoice.
    • Invoice total: the total value of the invoice in $USD. This includes both Design and FigJam editor seats.
    • Status: the status of the invoice, whether unpaid, overdue, or paid. Click View invoice for paid invoices or Pay invoice for active or outstanding invoices.

• Upgrade to the Organization plan

  Who can use this feature

  Supported on Starter, Education and Professional Figma plans can upgrade to a Figma Organization.

  Only team admins or owners can upgrade Professional teams.

  Any editor can upgrade Starter teams.

  Figma only supports credit card payments for automatic upgrades. Paypal, ACH, or wire transfers are not supported.

  There are two main ways to upgrade to the Organization plan:

  • A

    Upgrade in Figma

    Upgrade to the Organization plan in your Figma account.

    • You need to be an admin of any teams you want to include in the organization to include them in the upgrade.
    • You can only pay for this type of organization via credit card. Billing on the Organization plan →
    • Your organization won't include domain capture. Domain capture makes sure everyone with a company email is added to the organization.
    • If you are already part of an organization with domain capture, you can't use this process to upgrade external teams or add them to the organization.
  • B

    Figma Sales team

    The Figma Sales team can guide you through the process of upgrading to the Organization plan.

    Your dedicated representative will provide advice on everything from procurement to best practices. They can set up trials or training sessions, help with security or legal reviews, and assist with any onboarding operations. 

    You'll also have access to other features:

    • Greater control over which teams to upgrade
    • Add other domains or enable domain capture
    • Payment via invoice, ACH, or wire transfer
    • Add or remove teams from an existing organization
    • Customize other aspects of your organization, like other domains

  In this article, we only cover the process of upgrading in Figma. To speak to the Figma Sales team, visit the Figma Organization page and click Contact Sales.

  Upgrade plan

  Important information: Upon upgrade, Figma will move your existing teams into a dedicated organization workspace. During this time, you won't be able to access your existing teams or the organization workspace.

  This process usually takes a couple of minutes, but can take longer for teams with hundreds of members or a large amount of resources. We recommend you set aside an hour for this task and choose a time which will cause minimal disruption to your team(s).

  Upgrade an existing Professional, Education, or Starter team to the Organization plan.

  If any of the teams included in the upgrade have existing Professional subscriptions, Figma will automatically refund the remainder of the subscription(s). This applies to both monthly or annual subscriptions.

  The pro-rated amount will be refunded, as a separate payment, to the credit card originally registered to the Professional team. This can take around 5 to 10 days to show up on your statement.

  To upgrade teams to the Organization plan, you need:

  • A Figma account registered under a verified company email. This is an email address registered to a company domain, like name@figma.com.
  • An admin or owner role on any teams you want to upgrade
  • A valid credit card

  Select teams to upgrade

  1. In the file browser, click on the team you'd like to upgrade.
  2. Go to the Billing tab.
  3. Under Plan summary, click the Upgrade to organization link.
  4. Select Choose Organization from the plan options.

  First, you'll need to tell us which teams you want to include in your organization. Figma only lists teams you're currently an owner or admin of.

  1. View the team name and icon.
  2. View the total number of current editors for each team.
  3. Click on a team to view the editors and viewers that will be included in the new organization.
  4. Check the box to include the team in the migration.

  Missing a team? We recommend exiting the upgrade process and checking that you are an Admin of that team. You will be able to create new teams or upgrade other teams once you have set up the organization.

  

  View members and guests

  Figma lists all team members that will be included in the new organization. You can access this list throughout the checkout process.

  1. View a list of editors (paid) and viewers (free). Learn about account types →
  2. People with emails that doesn't match the company's domain have a guest badge.
  3. Hover over a member to see teams of which they're a member.
  4. Use the button to add extra editor seats to your organization. This is handy if you plan on upgrading existing members, or want to add editors outside of these teams.
  5. View the domain Figma will register for your organization. Figma bases this on the domain of your current email address.
  6. View the total number of editors that Figma will include in your organization's annual subscription. You can add new editors to your organization throughout your billing cycle. Figma accounts for new Editors via a quarterly true-up process.
  7. View the expected Subtotal of your organization's annual subscription.
  8. Click Next: Organization details to proceed.

  

  Want to remove someone from the list of members? Remove a collaborator from the team or from a specific file.

  Confirm organization details

  Confirm some basic information about your new organization.

  1. Enter or update Your Full Name. Figma will make you an organization admin as part of the migration process.
  2. Confirm or update your email address. This must be a company email. For example: an address not registered to a gmail.com or hotmail.com domain.
  3. Enter the Legal company name.
  4. Choose a Company display name, if this is different than your trading name. This is the name Figma will use in the product.
  5. Click the Next: Payment button to proceed.

  Enter credit card details

  We only support payment via credit card through the upgrade process. Payments via Paypal, ACH, or wire transfers are not supported.

  1. Enter your payment details into the fields provided
     • Card number, Expiry date, and CVV
     • Street Address, App/Suite/etc
     • Country
     • City, State, and Zipcode
  2. Click Next: Review to proceed.

  Note: There isn't currently a way to update your credit card for an organization in Figma. Reach out to the Figma support team for help updating your credit card details.

  Review details

  Review everything that will be included in your organization.

  1. At the top of the page, view a summary of your organization:
     • Company name
     • Company display name
     • Domains
     • Teams
     • Editors
  2. View an explanation of the quarterly true-up process. You'll see the date of your next quarterly true-up.
  3. View your order details:
     • The date of your next Annual renewal
     • Total Editors: Use the icon to add extra Editor seats to your organization.
     • Subtotal
     • Sales tax (if applicable)
     • Total due today
  4. Review the Software Service Agreement and Renewal and cancellation terms. Click I agree to accept and activate the purchase button.
  5. Click Complete purchase to start the migration process.
  6. Figma will move your existing teams into a dedicated organization workspace. During this time, you won't be able to access your existing teams or the organization workspace. This process usually takes a couple of minutes, but can take longer for teams with hundreds of members.
  7. Click Go to Figma to get started with your organization. Explore your organization workspace →

  

• Manage organization true-ups

  Who can use this feature

  Supported on the Organization and Enterprise plans.

  Only organization admins can update roles and confirm new editors for true-ups.

  On the Enterprise plan? True-ups work differently on the Enterprise plan. Workspace admins can help organization admins review and confirm new editors. Manage true-ups with workspaces →

  Every three months, Figma performs a billing true-up to account for any new editor seats. Figma sends a notification two weeks before payment is due to the organization's billing contact(s).

  This notification includes details of any new editors and indicates the start of the true-up period. Organization admins then have two weeks to review and confirm any new editors.

  Figma sends another reminder two weeks before the true-up period ends, then again three days before the invoice is locked and payment is due. At the end of the true-up period, Figma generates an invoice for the total number of editor seats and charges the organization.

  In this article, we've outlined three key tasks relating to an organization's true-up:

  1. Review new editors
  2. Confirm true-up invoice
  3. Make a payment

  Review new editors

  During a true-up, organization admins review any new editors and decide if they need an editor role. They can then downgrade or upgrade roles as needed. Figma will only charge for the editors you keep.

  View new editors

  View and manage new editors under Admin settings > Members.

  1. Open the organization in Figma.
  2. Select Admin settings in the sidebar, then select the Members tab.
  3. At the top of the page you can view a summary of the current true-up:
     • New Figma design seats: how many extra editor seats you need for Figma design.
     • New FigJam editor seats: how many extra editor seats you need FigJam.
     • Invoice total: what you can expect to pay for this invoice based on new editor seats.
  4. To view any new editors, check the New since last invoice box.

  

  View activity and access

  You can view a person's recent activity and current access to decide if they actually need a paid editor role.

  1. Click in the person's row and select View user activity.
  2. At the top of the modal, view the member or guest summary. This includes their name, email address, and current Figma design and FigJam roles.
  3. In the Recent activity tab, view a snapshot of their activity:
     • View the Upgrade date and related Upgrade event.
     • View the last five events in the member's history. For each event, you'll see the date, activity description, related team, and the person's IP address .
     • Click See more activity to open the activity log with this member selected. View member activity →

  4. In the Guest access tab, see which resources the member or guest has access to.

     • View a list of the teams, projects, and files they can access.
     • View their permissions on each resource.
  5. To remove them from the organization's billing, you can downgrade their role(s) ↓
  6. To remove them from the organization, click Remove user.

  

  Downgrade Figma or FigJam roles

  If the editor role isn't justified, organization admins can downgrade a member's role to viewer-restricted. This removes them from the organization's billing and prevents them from getting edit access to organization resources.

  You can update a person's role from their row in the Members tab. You can also update their roles from the Recent activity / Guest access modal.

  1. Find the member in the Members tab. You can use the search field to find them by name or email address.
  2. In the Figma role column, click Editor and select Viewer - restricted:
  3. In the FigJam role column, click Editor and select Viewer - restricted:

  You can also remove them from the organization. Click and select Remove user to remove them immediately. Best practices for removing members and guests →

  Confirm true-up

  Now you can confirm your new editor seats and finalize the invoice for this quarter. Any new editors added after this step are included in your next true-up.

  1. Open the organization in Figma.

  2. Select Admin settings > Members.

  3. In the true-up summary, click Confirm and finalize invoice:

     

  4. The Billing tab now shows your invoice as finalized.

     

  Make payments

  There are two ways to pay your invoice, automatically by credit card or manually via invoice. It's only possible to make one payment per invoice, so you need to pay the invoice in full.

  • If you pay manually, you have 30 days to pay the invoice.
  • If you purchased your organization plan using your credit card in Figma, Figma will charge your credit card for the Total due on the true-up date.

  Purchase orders

  Purchase orders are official documents that confirm the quantity and price for products and services. Businesses may require purchase orders for budget approval and tracking purposes.

  There isn't a dedicated process for managing purchase orders in the Figma product. You can submit these to Figma and ask to include references to them on your account invoices.

  Even if you have your own system for managing purchase orders, please reach out to your account manager or invoices@figma.com to co-ordinate.

  Note: You can submit as many purchase orders as you need within a quarter. Figma will only generate one invoice for every true-up.

  Pay invoice

  Payments must be made in full, as it's not possible to apply more than one payment to an invoice.

  1. Open the organization workspace.
  2. Select Admin settings > Billing.
  3. Click the Pay invoice button at the top of the page. Figma will open Stripe, where you can enter credit card details to pay for the invoice.
  4. Click View Invoice next to the true-up to download a copy of that invoice.
• Manage true-ups with workspaces

  Supported on the Enterprise plan.

  Workspace admins can review and confirm new editors for their workspaces. Only organization admins can finalize an organization's invoice during a true-up.

  Organization admins have the final say when confirming and finalizing invoices. Organization admins can view and update roles for members or guests of any workspace.

  Figma will show an alert icon next to the admin settings, members tab, and any license groups during a true-up.

  Review new workspace editors Workspace admins

  During a true-up, workspace admins can review and manage roles of any workspaces members. They can then confirm any extra editor seats their workspaces need.

  1. Open the organization in Figma.
  2. Head to Admin settings > Workspace > Members.
  3. During a true-up, Figma displays a yellow banner that prompts you to review workspace members (including external guests).
  4. Review the activity and access for members and update their roles if needed. Manage workspace members →
  5. Click Looks good to confirm Figma design and FigJam editor seats for that workspace.
  6. Repeat for any other workspaces you manage.

  Confirm and finalize invoice Organization admins

  Organization admins can track the true-up status of each workspace under Admin settings > Workspaces. This allows them to see which workspaces are completed or incomplete.

  Organization admins can still update roles for any member or guest before finalizing the invoice. Even if a workspace has already confirmed those seats.

  Organization admins then finalize the true-up or annual subscription to lock the invoice. Figma will let you know if there are any workspaces with an incomplete true-up status.

  1. Head to Admin settings > Billing.
  2. Click Confirm and finalize invoice.
  3. If there are incomplete workspaces, organization admins can still confirm and finalize the invoice. Figma will use the current roles for members of those affected license groups to confirm the total number of editor seats.
  4. Click Confirm and finalize to update editor seats and lock the invoice.
