Manage public link sharing and open sessions
Who can use this feature
Available on the Organization and Enterprise plans
Organization admins only
Every Figma organization allows public sharing by default. Sharing files and prototypes and running open sessions in FigJam are great ways to collaborate with people outside your organization, or with colleagues who don’t have a Figma account. People often share resources publicly to:
- Get feedback on prototypes when usability testing
- Present designs to a group of external clients
- Run workshops and brainstorms
Organization admins can manage how public sharing works in Figma to align with a company’s information security practices. You can:
Organization plan | Enterprise plan | |
---|---|---|
Require passwords on public links | ✓ | |
Require autogenerated passwords | ✓ | |
Require link expirations on design files | ✓ | |
Customize public link settings for a workspace | ✓ | |
Disable public links | ✓ | ✓ |
Disable open sessions in FigJam | ✓ | ✓ |
Note: Figma tracks changes to any of the above public sharing settings, as well as changes to the link sharing settings of individual files, in the Activity log.
Require passwords on public links Enterprise
By default, people in your organization can share a file, prototype, or FigJam board with Anyone with the link or Anyone with the link and password access settings.
Requiring passwords on public links disables the Anyone with the link access setting, so people can only share a resource publicly using Anyone with the link and password. With this access setting, anyone using the public link won’t be able to view the resource until they enter a password.
To require passwords on public links:
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Public sharing.
- Click the Require passwords checkbox and click Save.
Require autogenerated passwords Enterprise
By default, when people share a file with Anyone with the link and password access settings, they can create a password, or use one generated by Figma. If your organization is particularly security-conscious, you can remove the option for people to create custom passwords.
Passwords generated by Figma combine four randomly-chosen words so they’re strong and unique, every time.
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Password protection options.
- Select Autogenerated passwords only and click Save.
Require link expirations on design files Enterprise
To prevent people outside your organization from having access to files for longer than they need, you can require public design links to expire as soon as one hour, or as long as 31 days, after the link is generated.
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Public sharing.
- Click the Require design file links to expire checkbox.
- Enter a maximum number of hours or days links can be public before automatically converting back to private.
- Click Save.
Caution: This setting disables public link sharing in FigJam. However, members of your organization can keep working with people outside the organization by using open sessions in FigJam instead.
Customize public link settings for a workspace Enterprise
You may want different sharing settings for various workspaces in your organization. For example, you might want to allow user testing with people outside the organization in one workspace, while keeping the others more secure.
To manage this, you can restrict or allow public links in files in each workspace. When allowed, you can also choose whether public links require password protection, an expiration date, or both.
Note: You can only enable or disable open sessions in FigJam for the entire organization. You can't do it for individual workspaces.
To update the public link settings for a workspace:
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Public sharing.
- Under Custom settings for workspaces, click Add workspace and select a workspace from the list that appears.
- Adjust the settings for the workspace and click Save.
Note: Workspace public link settings take precedence over the organization's defaults. For example, you might require public link expirations at the organization level, but remove this restriction for a specific workspace.
Any custom public link settings for a workspace only apply to files in teams and projects in the workspace; any draft files and files in unassigned teams use the organizations default settings.
Disable public links
If you don’t want people to share public links to files, prototypes, or FigJam boards, you can disable public links.
Once set, people won’t have the option to share a resource with Anyone with the link or Anyone with the link and password access settings. All files in your organization will become private, so only members of your organization, or people invited to the file, can use links to access them.
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, disable the Public link sharing setting.
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Public sharing.
- Disable the Public link sharing setting and click Save.
Note: Disabling public links doesn’t prevent members and guests from inviting people to a file.
Disable open sessions in FigJam
In FigJam, an open session lets anyone join a FigJam board and make edits. Each open session ends automatically after 24 hours.
To disable open sessions:
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, disable the Open sessions setting.
- From the file browser, click Admin.
- Click the Settings tab.
- In the External access section, click Public sharing.
- Disable the FigJam open sessions setting and click Save.
Tip: People can also add password protection to FigJam files, which requires a password to join an open session.
