Permissions in an organization
Before you start
Who can use this feature
These permissions apply to anyone on the Figma Organization plan.
Organization Admins can manage member roles and types.
Team permissions define how members can interact with files and projects within a specific team.
Anyone that interacts with the Organization has both an account type and a role at the Organization level.
Account types define what resources in the Organization a member has access to. There are three types of accounts: Member, Admin and Guest.
Roles define a member's permissions and whether they are included in your Organization's billing. There are three roles in an Organization: Viewer, Viewer Restricted, and Editor.
Members can join multiple teams in the Organization, and at different permission levels. Unlike Professional teams, which are billed individually, Figma bills Organizations as a whole. This makes sure Organizations only pay for each Editor once.
Account types
Account type determines what resources a member of an Organization has access to. There are three types of accounts: Members, Admins, and Guests.
You can have any combination of account type and role in an organization:
Account type |
Role |
Guest | Viewer |
Guest | Viewer Restricted |
Guest | Editor |
Member | Viewer |
Member | Viewer Restricted |
Member | Editor |
Admin | Viewer |
Admin | Viewer Restricted |
Admin | Editor |
Member
Members are users with a company email that you have invited or added to your Organization. For example: name@organization.com.
Members can
✅ View a list of all teams within the Organization
✅ Join or request to join any team within the Organization
✅ Create new teams within the Organization
✅ Access Secret teams of which they are a member
✅ View a list of all members of the Organization - this includes Members and Guests
✅ Find and use any libraries shared across the Organization. Including teams they aren't a member of.
✅ Find and use font shared across the Organization
✅ Invite other Organization Members to teams, files and projects within the Organization
Organization Admin
Organization Admins are Members that have extra administrative rights within the Organization. They can manage administrative aspects of the Organization itself.
You can add an Organization Admin with any role, including Viewer Restricted.
Note: Organization Admins are different to team Admins. Team Admins have administrative rights within a specific team. Teams within an Organization still use Viewer, Editor, and Admin permissions to define how collaborators can interact with each team.
Admins can
✅ Do everything Members can
✅ Access the entire Admin Console
✅ Change the Organization's Logo
✅ Change the role and account type of any Organization members
✅ Request a list of all members in the Organization
✅ Upload font to the Organization
✅ View and explore detailed Activity Logs. These record events and actions taken within the Organization
✅ View a detailed billing history
✅ View and manage an Organization's Quarterly True Up
✅ Make payments against an Organization's invoices
✅ Enable default libraries in the Assets Panel ( Editors only)
There are some things that Admins can't do within an Organization.
Admins can't
🚫 Access every team within your Organization. Admins will need to join a team to be able to access any projects, files and shared resources within it.
🚫 View Secret teams in the Organization (unless that team no longer has an owner or admins)
🚫 Perform Administrative functions on a team (unless they are an Admin of that team)
🚫 Enable default libraries in the Assets Panel (Viewers only)
Guest
Guests are users that you have invited to specific resources within an Organization. This could be a specific team, file or project.
Guests are collaborators that don't have email addresses that match any registered domains in an Organization. These could be external contractors, clients or other collaborators.
You can invite a guest to a resource as a Viewer, Viewer Restricted, or Editor. If you invite a Guest as an Editor, Figma will include them in the Organization's billing.
Guests can
✅ Have an email address that isn't registered to the Organization's domain
✅ Access teams, projects or files you have invited them to
✅ Be added to a team, file or project within an Organization
✅ Invite other collaborators to teams, files and projects they have access to. They can invite users at or below their access level.
Guests can't
🚫 View a list of all teams within the Organization.
🚫 Join or Request to Join any teams within the Organization
🚫 Find or use any libraries shared across the Organization (unless invited)
🚫 Find or use any fonts shared across the Organization
Note: To allow Guests to use Components from a shared library, they will need to have at least view access to the library file.
Roles
Roles define a member's permissions and whether they are included in your Organization's billing. There are three roles in an Organization: Viewer, Viewer [Restricted], and Editor.
Organization Admins can view member's roles in the Members tab of the Admin Console. Members can view their own role from the Settings tab of their Figma account.
Note: If you are using SAML SSO in your Organization, Organization Admins may also see a Provisional role. Figma shows this role when you have added someone to your SAML SSO provider, but they have not logged into Figma using SAML SSO yet.
Viewer
When you first add a new member to your Organization, Figma will assign them the Viewer role. Figma doesn't include Viewer members in an Organization's billing.
Viewer is a provisional role. To remove barriers to collaboration, there are no restrictions on Viewers. Organization Admins can upgrade Viewers to Editors in the Admin console. Viewers can also upgrade themselves when they perform any of the upgrade actions.
It's not possible to change a member's role back to Viewer. To restrict their access, you can change the member's role to Viewer Restricted.
Viewers can
✅ View any projects and files in teams of which they are a member
✅ View a library or font shared across the Organization
✅ Comment on any files or Prototypes
✅ Create and edit files within their Drafts
✅ Use styles and components shared in the Organization in their Drafts
✅ Use any font shared across the Organization in their Drafts
Viewers can't
🚫 Edit files or projects in any teams of which they are a member.
🚫 Use styles and components from shared libraries in team files.
🚫 Use font shared across the Organization in team files.
🚫 Edit shared libraries within the Organization.
🚫 Enable libraries within a team or across the Organization.
If a Viewer attempts any of the following actions, Figma will upgrade them to an Editor in the Organization.
- Share a file from their Drafts with a member of the Organization.
- Create new teams within the Organization.
- Create libraries and share them with the Organization.
- Click the Edit file button when opening a link to an Organization file.
What’s the difference between Viewer and Viewer Restricted?
Viewers are provisional users. When you add new members and guests to your Organization, Figma will give them a Viewer role. Viewers can upgrade to a paid Editor role by performing one of the actions listed above. Organization Admins can also upgrade Viewers to Editors.
Viewer Restricted users have had their access restricted by an Organization Admin, so they aren't able to upgrade themselves to a paid Editor role. Viewer Restricted users will need to request an upgrade from an Organization Admin.
Viewer Restricted
Members with a Viewer Restricted role can perform limited actions within an Organization. We don't include Viewer Restricted members in an Organization's billing.
A Member can request an upgrade from their Account Settings by clicking the Request Upgrade link next to their current role. This will send a notification to all Organization Admins, who can then approve or reject the Member's request.
Viewer Restricted can
✅ View any projects and files in teams they are a part of.
✅ View a library or font shared across the Organization.
✅ Comment on any files or Prototypes shared across the Organization.
✅ Create and edit files within their Drafts.
✅ Use Styles and Components from shared libraries in their Drafts
✅ Use any font shared across the Organization in their Drafts
Viewer Restricted can't
