Manage billing on the Organization and Enterprise plans
In March 2025, Figma introduced updates to how seats and other billing features work. This article describes the updated billing model.

Before you start
Who can use this feature
Organization admins can manage billing on the Organization and Enterprise plans.
On the Enterprise plan, billing group admins can manage seats for billing groups they manage.
The Organization and Enterprise plans have an annual subscription with quarterly invoices sent every three months. Your overall subscription cost is based on the number of Full, Dev, and Collab seats in your plan. You have access to these seats for the duration of your billing term.

How billing works on the Organization and Enterprise plans
When you sign up for an Organization or Enterprise plan, you purchase a number of seats for your annual subscription term.
You can purchase any number of Full, Dev, or Collab seats. View seats are free and do not need to be purchased.
You’ll receive quarterly invoices every three months. When your annual subscription renews, you can make adjustments to the number of seats on your plan.
You can also add or adjust seats at any time during your subscription terms. The billing process for these changes depends on whether you're using Figma's updated billing model.
How do I know if I’m on Figma’s updated billing model?
Figma introduced updates to its billing model on March 11, 2025.
- Changes related to admin controls, like new seat types and seat approval settings, went into effect for all accounts on or shortly after March 11, 2025.
- Changes related to billing, like new prices and prorated billing, go into effect at your first subscription renewal on or after March 11, 2025.

Figma’s legacy billing model uses true-ups every 3 months. With true-ups:
- You can add additional seats to your plan at any time.
- Your invoice is not adjusted for any seat changes until your true-up.
- You decide during the true-up period whether to keep and pay a pro-rated amount for your additional seats, or downgrade them to a free View seat.
Four weeks before the true-up, Figma will send an email reminder to the organization's billing contacts. This shows the number of paid seats added since the last billing date. Figma will send further reminders at two weeks, then three days before the true-up is due.
During the two week period before Figma issues your true-up invoice, you can:
- Review the list of paid seats in your account
- Downgrade anyone who shouldn’t have a paid seat
- Lock in your invoice amount
You will move to Figma’s updated billing model at your first renewal on or after March 11, 2025.
Your last true-up will be three months before your first renewal on or after March 11, 2025. For example, if your subscription renews on October 1, 2025, your last true-up will be July 1, 2025.
Review and lock in seats during true-up
New paid seats can be added to your organization during your billing period, but won’t be charged until an organization admin locks in the invoice during the true-up period.
Note: On the Enterprise plan with billing groups, billing group admins can help out during the true-up period by reviewing and managing paid seats in billing groups they manage. Here’s how a true-up works using billing groups:
- During the two-week period before Figma issues your true-up invoice, billing admins and organization admins can review and adjust the number of paid seats in each billing group.
- Once someone reviews a billing group, they can mark it as reviewed. This is an optional step, and helps organization admins see which billing groups have been checked.
- An organization admin locks in the invoice amount.
Billing group admins can review and make seat changes in their billing group.
- From the file browser, click Admin.
- Click the Billing Groups tab.
- Select the relevant billing group to review seats.
- To add new members, click Add members and assign members to your billing group.
- You can also change any existing member’s seat type.
- Once you've managed people's seats in your billing group, click Confirm in the true-up banner.
- From the file browser, click Admin.
- Select the Billing tab.
- At the top of the page you can view a summary of the current true-up, including the number of new paid seats since your last invoice.
- If you’d like to make any seat changes, navigate to the People tab.
- To finalize the seat changes and invoice, click Review and finalize invoice in the true-up summary banner.
Any new paid seats added after finalizing your invoice—and throughout the upcoming quarter—will get included in the next quarterly true-up.
What happens if I didn’t make adjustments before my invoice was finalized?
We are unable to adjust invoices after they have been issued. This is part of our standard terms of service.
On Figma’s updated billing model, approved seats are included in your next invoice with prorated pricing, based on the date they were approved until the end of the annual subscription term.
You’ll get quarterly invoices every three months of your annual subscription term.
- Adjust seats at renewal
- Add seats during billing period
- Remove or change seats during billing period
Example
You sign up for an annual plan on January 1, 2026. When you sign up for your plan, you’ll be charged upfront for all of your seats for the year.
You'll receive your first three quarterly invoices on April 1, July 1, and October 1. These invoices will cover any additional seats you add to your account during the previous three months, prorated from the date of approval.
On January 1, 2027, you can expect your fourth quarterly invoice, which will again cover any new seats added since the last billing period. You'll also receive your annual subscription renewal, where you'll be charged for all of your seats for the next year.
Note: On Enterprise plans with billing groups enabled, billing group admins review and adjust seat assignments within their billing group on an ongoing basis. Approved seats result in additional charges on your next invoice.

Adjust seats at renewal
Thirty days before your annual plan is set to renew, you’ll see a banner at the top of your Figma admin. Click Review seats to open a modal to adjust the number of seats on your plan prior to your renewal.
Tip: If you’ve already clicked the banner, you can still access the modal from your Admin > Billing page. The modal will be available from 30 days prior to the renewal up until the date of renewal.
From the modal, you can:
- View the number of assigned seats in your organization per seat type, which will be automatically included in your next renewal.
- You cannot adjust the number of currently assigned seats from the renewal modal. If you want to remove seats in your next renewal, you’ll need to first move users to free View seats, making their current seats unassigned.
- Adjust the number of unassigned seats to purchase at renewal.
Tip: We recommend pre-purchasing unassigned seats to help you manage your team as it grows. It can also help save time when managing new seat requests from your users—you can use seat approval settings to automatically approve incoming seat requests as long as seats are available.
Any seat adjustments you make within the 30 day period prior to renewal will be included in your subscription renewal.
Add seats during billing period
You can add paid seats at any time during your subscription. There are a few ways to add paid seats:
- From the file browser, click Admin in the left sidebar.
- Select the People tab.
- Click a person’s current seat from the Seat type column.
- In the popup modal, select and confirm the new seat type.
If the requested seat is not available, Figma adds a new seat to your plan.
Members or guests can request seat or seat upgrades in your team.
- Set approval settings for new seats: Admins choose if new seat requests are automatically approved or require manual approval
- Approve or decline seat requests: Admins approve or decline seat requests that require manual approval
When you approve or add new seats, they will be added to your next invoice, prorated from the day of approval through the end of your subscription period.
If a user occupies a paid seat when you approve a seat request for them, a prorated credit for the unused time in the previous seat is applied to your purchase of the new seat.
Example
Twigma Inc. has an Organization subscription with 20 Full seats. Their subscription renews on January 1, and they receive quarterly invoices on April 1, July 1, October 1, and January 1.
Benny joins Twigma on September 15 and an admin approves a Full seat for them. In this scenario, Twigma will get their quarterly invoice on October 1. The invoice will include a charge for $195.29, which is the prorated cost of 108 days worth of Full seat usage on the Organization plan. 108 days covers the cost of Benny’s seat from September 15 through the remainder of the annual Organization subscription term.
Remove or change seats during billing period
You can move people to a free View seat at any time during your billing cycle.
- From the file browser, click Admin in the left sidebar.
- Select the People tab.
- Click a person’s current seat from the Seat type column.
- In the popup modal, select the free View seat and confirm the changes.
Note: We won’t issue a prorated refund when you downgrade a user to a free View seat. However, someone else at your company can use the paid seat for the remainder of the billing period. If you no longer need the seat, make that adjustment at your next plan renewal.
If an admin wants to move a user to a lower cost seat, we first check to see whether that lower cost seat is available in your plan. A seat is available if it is not assigned to a user.
- If the seat is available: The seat is assigned to the user, and their previous seat is made available for someone else to use. This results in no additional seats or costs.
- If the seat is not available: You need to purchase the desired seat for this user, and their existing seat will be made available for someone else to use.
