Guide to team management
Before you start
Who can use this feature
Supported on Starter, Education, and Professional plans.
Only team admins can manage a team's admin settings and billing.
Team admins can manage every aspect of their team from the team page. They can manage members and permissions, libraries, billing, and other team settings.
Team settings
Team admins can manage aspects of the team in the Settings tab.
- Select Change team name to update the team name. Enter a new name in the field and click
Enter
to save. - Select Change team icon to upload a new image or icon for your team. The minimum size for avatars is 500px by 500px.
- Select Set team profile handle to claim or update the profile handle for the team in the Figma Community. Learn how to create a Community profile for a team →
- Select Delete team to start the process of deleting your team. Learn how to delete a team →
Tip! You can also rename the team from a few other places. Click the next to the team name and select Rename from the options. Or, right-click on the team name in the sidebar. Enter a new name in the field and press Enter to save.
Add or edit team description
Admins can also add a description for the team. This allows you to communicate any useful information about the team, like a purpose or mission, to anyone who has access to the team page.
- Click on the team name in the sidebar to open the team page.
- Click the Add a Description prompt under the team name. If the team already has a description, you can click on the existing description to edit it.
- Enter your message in the field provided, then click outside of the field to apply.
Members
Team admins can manage team members in the Members tab.
- Invite members
- View member permissions
- Manage members without team-level permissions
- Upgrade or downgrade members
- Grant member admin access
- Remove members

Libraries
You can publish libraries to share styles and components across your files, projects, and teams. Learn more about libraries in Figma →
Choose which libraries you want to have available in your team files by enabling default libraries. Enable a published library to:
- Access components from that library in the Assets panel of the left sidebar in any team files.
- Select styles from that library in the style picker for any relevant properties. This includes strokes, fills, text, layout grids, and effects.
- Access colors from any styles in the palette of the color picker, then apply them as regular fills.
To enable libraries for your team:
- Select the team in the sidebar and select Settings at the top of the page.
- In the Libraries section, click Enable Libraries.

Add annual seats
The Add annual seats setting allows you to perform a few different actions:
- Switch to an annual subscription
- Consolidate your billing and add any extra seats to your annual subscription.
- Update your annual subscription and purchase editors for the following billing period.
You can find this in the Plan and billing section of the Settings tab:

Switch to an annual subscription
If you are on a monthly plan, Figma will bill you for your plan every month. Figma bases your plan price on the number of editors currently on your Professional team.
To reduce admin, you can choose to switch to an annual subscription instead. This allows you to pay for an entire year of Figma upfront. When you switch, Figma will charge you for your annual subscription at your next monthly billing date.
- Select the Add annual seats option.
- View the current Number of editors included and the expected Subscription cost.
- Every Editor in your team takes up "Seat". If you plan on adding more collaborators to your team, you can Add more seats to your annual plan.
- Enter the number in the field provided. Click outside of the field to apply. You can still add extra editors to your subscription throughout the billing period.
- Click the Accept terms and upgrade button to complete the process. Figma will charge you for the annual subscription at your next monthly billing date
Tip! You can choose to renew your annual subscription the following year. Figma will send a reminder 30 days before your annual subscription is due to renew.

Consolidate billing
Figma will charge you for any new editors you add on a monthly basis. This means you will have both an annual subscription, and a monthly subscription for any extra editors. We refer to this as "co-terming".
To simplify your account administration, you can convert your monthly seats to an annual subscription. Figma will charge you a pro-rated fee, which covers those editor seats for the rest of your annual billing period.
- Select the Add annual seats option.
- Figma will show you a breakdown of the expected pro-rated fee for the remaining months of your annual subscription.
- Click Convert to add those seats to your annual subscription. Figma will charge the pro-rated fee at the end of your current monthly billing period.
Note: This is a manual process. You need to repeat this process every time you want to add extra editors to your annual subscription.

Renew annual subscription
On an annual subscription, Figma will send any billing contacts a reminder 30 days before the renewal date. You can use the renewal process to:
- Purchase extra editor seats for your next year of Figma
- Remove any editors or members who don't need access
- Cancel your subscription to prevent it from renewing
- Select the Add annual seats option.
- Figma will show you the total Number of editors included and the total Subscription cost.
- Add more seats to your annual plan if you plan on adding or removing collaborators. Each editor in your team occupies a "seat".
- Enter the updated number in the field. Click outside of the field to apply.
- Click the Accept terms and upgrade button to complete the process.
- Figma will update the number of editors included in your annual plan. You won't be charged until your actual annual billing date.
Caution: If you don't make any changes to your plan, your annual subscription will auto-renew. You will need to cancel your subscription for the Professional plan to prevent your annual subscription from renewing. Learn how to cancel your team plan →
Change payment method
When you upgrade to a Professional plan, you will need to enter a credit card. Figma will use these credit card details for your future subscription payments.
If the original payee has left the team, or you want to change the card on file, you can update your details.
- Open the team page and select Settings at the top of the page.
- Click the Change payment method setting.
- Enter the new credit card details in the fields provided.
- Click Use this card to update.
Change billing contact
Figma sends the billing contact for your team reminders for any upcoming payments or subscription renewals. By default, Figma will set the owner of the team as the billing contact.
If you want those reminders to go to someone else, you can change this to another address.
- Open the team page and select Settings at the top of the page.
- Click the Change billing contact setting.
- Enter the email address in the field provided.
- Click Submit to update your billing contact.
Tip! You can enter multiple email addresses, as long as you separate them by a comma. For example: billing@acme.com, accounting@acme.com
Cancel plan
Cancel the Professional plan to remove the team subscription and downgrade to a Starter team. You will also need to cancel your subscription to delete a Professional team.
If you'd like to delete your Professional team, you will also need to cancel your subscription.
This will downgrade your subscription to a Starter team, which we limit to 2 Editors and 3 Projects.
You will still have access to the features of a Professional plan for the remainder of your current billing period. On your next billing date, Figma will downgrade the team to a Starter team. We recommend you use this time to:
- Downgrade or remove extra editors
- Reorganize or remove extra projects
- Download copies of your account invoices
- Downgrade your account to a Starter team
- Delete your team
To cancel your plan:
- Go to Settings > Plan and billing from your team workspace.
- Select the Cancel plan option.
- Enter a reason for cancelling your subscription and click Continue cancellation.
- Click Finish cancellation to cancel the subscription. Figma will cancel the subscription and return you to the team page.

Refund policy
Payments for Figma subscriptions are non-refundable unless you live in the E.U. or Turkey, in which case you are eligible for a refund only if you cancel your subscription within 14 days of purchase. To request a refund, send us an email to support@figma.com and include your country of residence.
With that said, if for any reason you’re unhappy with Figma, please let us know. Contact us via the inside the app, or email support@figma.com, give us a detailed account of what happened, and we’ll work with you to make sure you have the best experience possible.
